Personal data we collect
Depending on how you use the store, we may collect:
- identity and contact information, such as your name, delivery and billing address, email address and telephone number;
- order and transaction information, including products, prices, currency, delivery method, order status and payment confirmation;
- account information provided through Shopify customer accounts;
- communications and customer-support information;
- marketing preferences;
- device, browser, network and usage information, including IP address and interactions with the website; and
- cookie and consent choices.
Payment-card details are collected and processed by the payment provider shown at checkout. Excellent Pick does not receive or store the complete card number.
How we obtain personal data
We obtain data:
- directly from you when you place an order, create an account, subscribe to marketing or contact us;
- automatically when you use the website, subject to your cookie choices; and
- from service providers involved in the store, payments, fraud prevention, fulfilment, delivery, analytics and advertising.
Why we use personal data and our lawful bases
We use personal data for the following purposes:
- To take steps at your request and perform our contract with you: processing payment, fulfilling and delivering orders, providing order updates, managing returns and providing requested customer support.
- To comply with legal obligations: maintaining accounting and transaction records, responding to lawful requests and meeting consumer-protection, tax and regulatory duties.
- For our legitimate interests: securing the store, preventing fraud, resolving disputes, improving customer service and operating the business efficiently, where those interests are not overridden by your rights.
- With consent: sending optional direct marketing and using non-essential cookies or similar technologies where consent is required. You may withdraw consent at any time.
Who receives personal data
We disclose personal data only where necessary to:
- Shopify, which hosts and operates the ecommerce platform;
- payment providers selected at checkout;
- suppliers, fulfilment partners and delivery carriers involved in an order;
- IT, security, customer-support and professional advisers supporting the business;
- analytics and advertising providers, including Google services implemented through the store’s authorised integration, where your consent or another valid legal basis permits this; and
- public authorities or other parties where disclosure is required by law or necessary to establish, exercise or defend legal claims.
Each recipient receives only the information reasonably required for its role and handles data under its own obligations or an agreement with us.
Cookies and similar technologies
We use essential technologies required to operate the store and, where permitted by your choices, technologies for preferences, analytics and advertising. See the Cookie Policy for further information and use the store’s cookie-preference control to change your choices.
International transfers
Some providers may process personal data outside the United Kingdom. Where UK data-protection law requires safeguards, we rely on an applicable adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful transfer mechanism used by the relevant provider.
How long we keep personal data
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected. Our normal retention approach is:
- order, transaction and accounting records: six years from the end of the company financial year to which they relate, or longer where HMRC, an unresolved dispute or another legal obligation requires it;
- customer-support enquiries not needed for an order, legal claim or regulatory obligation: normally up to two years after the enquiry is closed;
- marketing subscription records: while you remain subscribed; when you unsubscribe, we retain only the minimum suppression record needed to respect that choice;
- account information: while the account remains active and for a reasonable period after closure, except for information that must be retained with transaction or legal records;
- cookie, analytics and advertising information: according to the configured duration of the relevant service and your consent choices, with settings reviewed periodically; and
- fraud-prevention, complaint and legal-claim records: for as long as reasonably necessary to investigate, defend or resolve the matter and meet applicable limitation or legal periods.
We review retention periodically. When identifiable data is no longer required, we delete it or render it anonymous, subject to technical backup cycles and legal retention duties.
Your data-protection rights
Depending on the circumstances, UK data-protection law may give you the right to:
- ask for access to your personal data;
- ask us to correct inaccurate or incomplete data;
- ask us to erase data;
- ask us to restrict processing;
- object to processing based on legitimate interests or to direct marketing;
- receive certain data in a portable format;
- withdraw consent at any time, without affecting earlier lawful processing; and
- complain to the Information Commissioner’s Office.
These rights are not absolute and the available rights depend on the lawful basis and circumstances. To make a request, contact support@excellentpick.co.uk. We may ask for information reasonably necessary to verify identity and protect customer data.
You can contact the Information Commissioner’s Office at ico.org.uk or by telephone on 0303 123 1113.
Marketing
We send direct marketing only where permitted by law. You can unsubscribe using the link in a marketing email or by contacting us. Unsubscribing from marketing does not stop service messages about an order or account.
Security
We use appropriate organisational and technical measures designed to protect personal data. No internet service can guarantee absolute security. Please do not send payment-card details or other unnecessary sensitive information through email, text or the contact form.
Children
The store is not directed at children and we do not knowingly ask children to provide personal data. If you believe a child has provided personal data, contact us so that we can assess and, where appropriate, delete it.
Changes to this policy
We may update this policy to reflect changes in our services, providers or legal obligations. The current version and its update date will be published on this page.
